Corporate Records Access
The College of Family Physicians of Canada (CFPC) is incorporated under the Canada Not-for-profit Corporations Act (CNCA) and is committed to meeting all legal requirements relating to member access to corporate records.
This public statement summarizes how members may request access to CNCA-mandated records, including the applicable fees.
Compliance with Legislative Requirements

Comply with all provisions of the CNCA concerning access to corporate records

Make records available to members, personal representatives, and other authorized persons as required by law

Apply any statutory timelines, restrictions, and conditions set out in the CNCA and its Regulations
Where the CNCA permits or requires restrictions on access—including under section 25—the CFPC will follow all legal procedures.
Members may inspect all of the following records free of charge during business hours (Monday to Friday, 9:00 a.m. to 5:00 p.m. (ET)). Fees apply only to the preparation of copies, extracts, or lists.

How to Request Access
Members may request access to corporate records by contacting the CFPC Corporate Secretary at [email protected].
Information Required with Your Request

Your full name and CFPC membership ID

Your contact information (email and phone number)

A description of the records requested (type and time period)

A completed statutory declaration, if required

Agreement to pay any applicable fees
Incomplete requests may delay processing. The CFPC may request reasonable proof of identification.
Processing Timelines
Once a complete request, including any required statutory declaration and payment, is received, the CFPC will provide access within the timelines prescribed by the CNCA and its Regulations.
This period may be paused if the CFPC applies to the Director of Corporations Canada under section 25 of the CNCA. The member(s) will be notified promptly if this occurs.
Behavioural Expectations and Misuse of Member Lists and Registers
Members are expected to exercise their statutory access rights in a respectful and good faith manner. Access rights must not be used to harass CFPC staff, directors, officers, or other members, to unduly interfere with CFPC operations, or for purposes unrelated to the affairs of the CFPC as permitted by the CNCA.
Where the CFPC reasonably believes that a member’s conduct, in connection with access requests, constitutes unacceptable conduct under the CFPC’s Member Code of Conduct—including, without limitation, conduct that is abusive, harassing, obstructionist or vexatious—the CFPC may, without limiting the member’s statutory rights, initiate proceedings in accordance with the Member Code of Conduct.
